Shared Mailboxes are utilized in the bank to centralize the email flow for specific items. With a shared mailbox you are able to keep track of emails across multiple users and track whether an email has been opened or responded to. Shared Mailboxes also keep specific mail in a specific location. This ensures that you will not be flooding with mail to your main inbox. Here is a quick little guide to help you get started.




When you first open Outlook you will have a screen similar to this screenshot. Your main mailbox will be expanded out so you might not see the shared mailbox at first. You can either scroll down or click the chevron next to your name to hid all of the sub folders in your mailbox.





Next you should see one or more other mailboxes that are minimized. As you can see in the screenshot below, you can have quite a few shared mailboxes. By default the mailbox will not be expanded out so you will have to click the chevron to the left of the mailbox name to expand it out.






Once you expand out the Shared Mailbox you should see the folder structure similar to a brand new email. This is where you can view emails that have come in and see what emails have been sent. You have to make sure you check this inbox as these emails WILL NOT show up in your main mailbox.








Sending emails from Shared Mailbox


With using a shared mailbox, you are also able to send emails from that mailbox, or change who the email comes from. This will be useful with tracking the emails as when emails are sent with the shared mailbox, everyone will retain access to monitor responses coming in. Here is the quick guide on how to send via another email.

***Note - This is only necessary if you are creating a new email. If you are replying to an email, it will automatically fill in the email for whatever inbox you are in.



First you want to start an email. Then in the top ribbon, you want to select "Options."





When the Options tab opens up, there should be an option to select "From." Make sure that this option is highlighted and you should see the From option appear in the message below.




Form here you can click the drop down of the from button in the field that just appeared and select "Other Email Address." From there a dialog box will pop up allowing you to type the email address you wish to send from. After typing the email address you can hit OK and Outlook will fill the From field with the new address and you are set to send the email.
